How does billing work at gapXplorer?

gapXplorer AB is a Swedish limited company (Org. No. 559528-6880) registered for VAT in Sweden. All prices are shown in Swedish kronor (SEK) unless otherwise stated. Depending on your location and VAT status, VAT may be added at checkout in accordance with Swedish and EU VAT rules.

Is VAT included in the listed prices?

Unless explicitly stated otherwise, prices exclude VAT. VAT is charged in accordance with:

  • Swedish VAT legislation (mervärdesskattelag), and
  • Applicable EU VAT rules.

The VAT treatment depends on whether you are purchasing as a business or consumer, your country of establishment, and whether a valid VAT number is provided (for business customers).

What happens if I am an EU business customer?

If you are an EU business customer and provide a valid VAT registration number, VAT is normally not charged on the invoice. In such cases, the reverse-charge mechanism applies and you are responsible for reporting and paying VAT in your own country.

What if I am a private individual or a Swedish customer?

If you are a private individual (consumer) or a Swedish-based customer, Swedish VAT will be charged at the applicable rate and shown clearly on your receipt or invoice.

Who processes my payment?

All online payments are processed by Stripe Payments Europe, Ltd. or its affiliated entities ("Stripe"), which acts as an independent third-party payment service provider. gapXplorer:

  • Does not process payments itself.
  • Does not store or have access to your full payment card or bank details.
  • Stripe securely handles payment transactions in accordance with its own terms, privacy policy, and security standards.

Does gapXplorer store my payment details?

No. gapXplorer never stores full payment card details or sensitive payment credentials. Payment information is submitted directly to Stripe. gapXplorer only receives limited transaction details (such as payment confirmation, amount, and date) so that we can provide access to the service, issue invoices and receipts, and comply with accounting and legal obligations.

How is my payment data handled under GDPR?

Stripe acts as a payment service provider and processes payment data under its own privacy and security standards. gapXplorer receives only limited transaction information needed for invoicing, access, and legal compliance. This setup is described in Section 4.1 of our Terms and Conditions and our Privacy Notice, and Stripe’s handling of payment data is governed by Stripe’s own privacy documentation.

How long are invoices and transaction records stored?

Under the Swedish Accounting Act (Bokföringslagen), gapXplorer is legally required to retain invoice and transaction records for seven (7) years. These records are stored in a separate, access-restricted billing archive, are used only for bookkeeping, audit, and legal compliance, and are not used for marketing or profiling. Once the statutory retention period expires, records are deleted or irreversibly anonymised.

What happens to billing data if I delete my account?

If you delete your account, your profile and service-related data are removed from active systems, you can no longer sign in or access reports, and invoice copies are retained only to meet legal accounting requirements. This process is described in detail in our Privacy Notice under Account deletion and retention of invoices.

Can I get a copy of my invoice?

Yes. Invoices and receipts are available via your account or can be requested by contacting contact@gapxplorer.com.
